Loading 5 Year Forecast • Complete your 5 year forecast on the Excel spreadsheet. • Save the document in a CSV format. • Select File >> Transfer from your Reflections main menu. • Select the Show Host Files button in the File Transfer dialog box to see host files and directories. You will need to enter your userid and password when prompted. They will be the same as your reflections login. FTP the document into the appropriate directory for the user performing the upload. This directory sits on the district directory (Example Mapl.Jones). • After transfer is complete, close the File Transfer dialog box.

  5. Loading 5 Year Forecast • Select the appropriate database for importing the 5 year forecast. • Select EMIS • Select EMIS_SEL • Enter the number for XXP (Fiscal Year 2009, Reporting Period P) • Press the return key

  6. Loading 5 Year Forecast • From your prompt, run the program called FFIMPORT and verify your column numbers match the forecast fields.If they match, execute the program. Your 5 year forecast will load allowing for viewing in the EMSFF option.Make sure your column numbers for the forecast fields match your spreadsheet going from left to right.

Loading 5 Year Forecast • Run the program called EMSFCN >> EMSFF • Validate your data using the appropriate function key. • If the validation is incorrect, it should give you the line number the system had an issue with. Check your 5 Year and determine where the problem is located, fix it, and re-import. • The program allows you to scroll up and down through the line numbers using your function keys to verify numbers. • If the validation is ok and your data looks correct, your 5 Year Forecast is ready to be submitted. Note: verify the forecast is the correct one. Sometimes an old 5 year is loaded accidently. • An example of the screen is below.

Loading 5 Year Forecast • If you are submitting regular text for your assumptions, Run the program EMSFCN >> EMSFN (Select #3 Edit) • Clear the old data out of the editor that will no longer be needed. You can edit your notes using a combination of your <END> key with your left, right, up and down arrow keys to select data you wish to remove. Selecting the <Delete> key will delete the data from the editor. Note: Depending on the keyboard, these keys could be different. • Copy and Paste your notes into the editor. • You can edit your notes using a combination of your <END> key and left, right, up and down arrow keys to select data you wish to remove. Loading 5 Year Forecast • If you are submitting a PDF file for your notes, PDF files should have the naming convention DISTRICT_NAME-IRN, where all parts of the name are separated with an underscore followed by a dash and the IRN, and contain no spaces, and should be e-mailed to Sonja.hunter@ode.state.oh.us. Those districts using this method will also need to include in the EMIS assumption submission (Refer to number 9 above) the phrase:  "Please visit the Ohio Department of Education website at  “ftp://ftp.ode.state.oh.us/geodoc/5-yrForecast/” to see the complete forecast assumptions file." 

  11. Loading 5 Year Forecast • Run EMSRDET Note: Please work with your EMIS Coordinator for running this step. • Enter the correct Fiscal Year • Enter the correct Period to submit. For 5 year forecasts, the period is always ‘P’. • Select Continue. • This will create a sequential file to be submitted to ODE and a txt file showing any errors.

Have you completed all the necessary steps for an EMIS submission? (Y/N <N>) y Enter Fiscal Year to submit: 09 Enter Report Period to submit: P Enter DataBase Code to submit: 09P

  13. Loading 5 Year Forecast • This program places the five year into the queue that submits the 5 year forecast and other EMIS information to ODE. This queued information is sent out on Thursday at 5:00PM to ODE and should appear on their website the next week. • In the following week, check and verify the ODE web site for 5 year forecasts contains the correct up to date forecast with assumptions. • Place a ticket in helpdesk letting TCCSA know you have uploaded and submitted the 5 year forecast. If you have any problems, contact TCCSA for assistance.
