Terminology Clarification LotteryWaitPoolsAfterFirstLotteryThroughSecondLottery: • A “first lottery wait pool” is established internally for School Options programs when there are more applicants than seats available; it is not visible to staff. • First lottery waitpool students are considered before second lottery applicants for seats that become available in the second lottery. • Priorities are maintained for first lottery waitpool students in the second lottery. Students are admitted based on priority to capacity by grade. • First lottery waitpool students not admitted through the second lottery will remain in the wait pool until it converts to a wait list. 3

Terminology Clarification Wait List After Second Lottery: • Second lottery applicants will be considered by priority for available seats after first lottery wait pool students. • First lottery wait pool and second lottery first‐option applicants not assigned will be combined to form a wait list. Students are assigned a random number which determines the order by which a student is pulled from the wait list. The random number remains the same throughout the wait list process. • No new students will be added to the wait list after the second lottery. • Staff may communicate the student’s wait list position number. • Wait lists are open until the end of the first academic quarter, October 27, 2014. 4

Wait List Information • Wait list information is “view only” for schools. • A student’s wait list status can only be changed by Student Placement. • Students must be admitted from the wait list in the order presented. • There is no sibling guarantee in the wait list. Siblings should not be automatically admitted to a school from the wait list. 5

Wait List Information • Students who have withdrawn, with the exception of Pre‐K Montessori, or are inactive are ineligible to be selected from the wait list. • Schools will be able to view their wait list and begin contacting students June 16, 2014. • Students who did not meet entrance requirements will be denoted as “cancelled” on your list and should not be contacted. These students will appear at the top of the list. • Wait lists will close at the end of the first academic quarter, October 27, 2014. 6

  7. How to Access Your Wait List • The following slides will demonstrate how to access your wait list. • Type http://appsint.cms.k12.nc.us/SA into your Internet Explorer (IE) Web browser; you may add this to your “Favorites” for quick access. 7

  12. Wait List Screens Below is an example of a wait list. Schools must contact parents in the order they are presented. Keep a log of who is contacted, including date and time. Contact must be made by mail if you are unable to contact by phone. 12

  15. Admitting Students from the Wait List • Beginning June 16, you may contact students in the order presented. You will see the following Accept/Decline Codes: Cancelled – Students who are ineligible to be pulled from your wait list. Cancelled students always appear at the top of the list. Do not contact these students. Waiting – Eligible students you can pull in from your wait list in the order presented. Accepted – Students who have accepted placement from the list. These students will appear below the cancelled students at the top of list. Declined – Students who decline an offered seat from the wait list. These students will appear after the accepted students at the top of the list. 15

  16. Admitting Students from the Wait List (Continued) 2. Confirm acceptance of placement. Parents have the option to decline the placement. • Send student’s name, ID and grade level to your Student Placement Specialist. Your specialist will update the wait list. • After YET, you will need to contact the student’s current school to ask them to withdraw the student to your school. Once the student has been enrolled in your school, please advise the student placement specialist so the magnet code can be added. • 5. Keep a detailed log of all contact with families and provide that information to your Student Placement Specialist when sending names to be declined or accepted from the wait list. 16

  17. When Families Call to Inquire… • You may inform parents of their child’s numerical placement on the wait list. Remember, “cancelled” students will be listed first, so start your count from the first “waiting” student on the list. • The waitlist order was determined by a randomly assigned number during the lottery process. • Students are offered seats based on numerical order. • Wait lists will be dissolved at the end of the 1st academic quarter, October 27, 2014. 17

  18. In Review… • The student’s wait list status can only be changed by Student Placement. Wait list information is “view only.” • Siblings should not be automatically admitted to a school from the wait list. • Questions concerning a student’s status may be directed to your Student Placement Specialist. • Wait list will be accessibleJune 16 and will close on October 27, 2014. 18
