Programme of visits • On the spot checks; • Desk checks (now complete for 2012); • Systems/Monitoring visits; • Follow up.
Audit Requirements students-1 • Eligibility (extract from SRS); • Signed model agreement (mandatory); • Standard form (mandatory); • Learning Agreement/Training Agreement; • Certificate of arrival, departure or attendance( mandatory - must be independently produced).
Audit requirements Students - 2 • Transcript; • Final report; • Proof of receipt – not mandatory but HEI must demonstrate payment successfully made as minimum.
Audit Requirements staff-1 • Proof of eligibility (mandatory but letter from HR is sufficient); • Signed model agreement (mandatory); • Standard form (mandatory); • Teaching Agreement/Training Agreement; • Certificate of attendance( mandatory - must be independently produced).
Audit requirements Staff - 2 • Purpose of visit – to ensure compliance with aims of Erasmus programme; • Final report; • Proof of receipt – not mandatory but HEI must demonstrate payment successfully made as minimum.
Common Issues -1 • Model agreements – lack of; • Out of date/non standard model agreements; • Purpose of staff mobility; • Electronic signatures; • Errors in calculation of duration.
Common Issues -2 • Backing information to support changes. • Loss of transcripts; • No final reports; • No proof of receipt.
Exceptions If circumstances make it impossible to follow regulations: • Contact the Erasmus Help Desk with details as soon as possible • Keep documentation • Put comments on your mobility report if appropriate (e.g. for short mobilities; force majeure)
Good practice • A growing number of HEIs now pass their visits with no issues raised!
