  3. Academic Competition Organizational Chart District Coordinator (s) World Languages Office Student Volunteers School Coordinator Judges Teachers

District Coordinator (s) Responsibilities • Set Coordinators’ orientation meeting in October • Disseminate Information to school coordinators • Register schools for competition • Follow-up with important dates • Coordinate Competition • Organize Student Volunteers • Order necessary materials to the World Languages Office • Have a meeting the Thursday before competition • Be sure everything is organized and ready on competition day

  5. Student Volunteers Responsibilities • Arrive on time • Assist Judges during competition • Make sure that score sheets are paired correctly • Make sure that when score sheets are filed , they are filed in the • correct school #

School Coordinator (s) Responsibilities • Attend Orientation Coordinators’ Meeting in October • Go to World Languages WIKI– High School Competition • file and download all necessary forms • Set a meeting with World Languages teachers at your school after • the district meeting to explain the competition process • Send registration and all dated forms to the , District Coordinator on time • Send judges information for clearance to Blanca Guerra curriculum • specialist via cab on time

  7. School Coordinator Responsibilities (continued) • Visual art entries: posters, projects, new media: • Attach identification form in the back of the project or poster • 2 Score sheets per entry. DO NOT ATTACH TO THE BACK OF • PROJECT OR POSTER • Fill-out all forms correctly • Before submitting Visual Arts entries please be sure that there are • grammatical error nor offensive vocabulary • Note: New Media needs to be sent to the coordinator 2 weeks before the competition via CAB • Bring posters and projects to the competition site the • Thursday before the competition scoring sheets for each student and • category and that they are filled out completely. • The day before the competition, make sure that you have the correct • out correctly

The day of the competition • Arrive on time • Fill out the attendance sheet the day of the competition and give it to • the person doing the registration • Make sure to bring the music and CD player for the talent • presentation the day of the competition • The day of the competition pick up all projects and posters • from the Media Center after the competition is done for those entries • that have not been selected to be displayed at KCW • When the awards arrive at your school, check that everything is • correct. If you are missing some awards, please contact Blanca • Guerra via cab

Teachers Responsibilities • Select students that are going to compete • If students are doing declamation be sure that they have memorized • the poem and they can act it up and have the appropriate props • Students doing impromptu should be given the list of topics with • ample time to prepare • Talent category will be live. Be sure when you select students that they • will be able to attend the competition on a Saturday • Talent needs to reflect the culture of the target language with • appropriate attire and props if necessary. Please follow school • board dress code

Teachers Responsibilities (continued) • Give artistic display: posters, projects and new media to the coordinator • on time • Be sure that you check the grammar before submitting any poster, • project, or new media • Fill out all score sheets for your students correctly and give them to • the school coordinator on time

World Languages Office Responsibilities • Provide support to District coordinator in the organization of the • competition • Be sure that all participating judges are cleared as mandated by • the Jessica Lunsford Act state law and school district guidelines • Maintain communication with judges • Send necessary materials to the District coordinator • Process all scores and send awards to schools

  12. What is new in the competition? • All poems must be acted out and with props when needed. Points will be taken off presentations not following these guidelines • Talent will be live in the auditorium using proper attire according • to the target language • Skit and Play will be live on the day of the competition no more CD submissions • NO MORE BEST IN COUNTY TROPHY • Change the # of talent presentation per school from 3 per language to 3 per school.
