  2. What is Google Apps for Education?Or Google Docs? • Google Docs is a free, Web-basedoffice suite offered by Google within its Google Drive service. It was formerly a storage service as well, but has since been replaced by Google Drive. It allows users to create and edit documents online while collaborating with other users live. • Since October 2012, the word processing, spreadsheet, and presentation programs within the suite are named Google Docs, Google Sheets, and Google Slides, respectively.

District Administrative Regulation 6163.1, Acceptable Use of Technology (AUT): Google Apps for Education Full copy of the policy is available online and parents/guardians should be seeing it when their student brings it home for parent/guardian to co-sign the AUT. Children’s Online Privacy Protection Act (COPPA) requires the Federal Trade Commission to issue and enforce regulations concerning children’s on-line privacy. The District works diligently to comply with COPPA requirements and does not collect or share student personal information.

  4. GAFE • The District provides students and staff members with a Google Apps for Education (GAFE) account. • GAFE is a free Web-based suite of programs provided by Google for school districts to use. • Authorized District students and staff members have access to GAFE. • GAFE includes such programs as Google Drive, Google Calendar, and Google Gmail. • All of the GAFE services can be accessed from anywhere there is an Internet connection (school, home, smart phone, etc.) The universal access reduces and replaces the need for flash drives and/or external data drives. • Since GAFE the same everywhere students and staff members use it, there is no issue with having one version of a program at home and a different version at school. • GAFE allows students and staff members to easily share documents and files with teachers and other students so they can turn in assignments electronically and collaborate on projects with classmates.

  5. Student Accounts and Gmail District Student Google Account Setup • District student accounts are created by District Technology Services using only student local identification numbers. The student’s username is their local student ID - such as 123456. • Initial password is: birthday digits (ie. 01/01/14) Uses for Student Gmail • Powerful communication tool for students to increase communication and collaboration. • Students are encouraged to check their email at least once per day. • Teachers may send email to students to communicate reminders, course content, pose questions related to class work, and other classroom communications. • Students may send email to their teachers with questions or comments regarding class. • Students may send email to other students to collaborate on group projects and assist with school classes. • There is no email access outside of the District domain (FJUHSD.org)

  6. Google Apps Google Calendar Google Drive Google Drive gives all users up to 30GB of cloud storage space for most file formats. Google Drive includes the following programs: Google Documents (Docs) - word processor similar to Microsoft Word; Google Presentations (Slides) - multimedia presentation tool similar to Microsoft PowerPoint; Google Spreadsheets (Sheets) - spreadsheet program similar to Microsoft Excel; Google Forms (Forms) - survey/data collection tool for creating forms and collecting data from an audience; Google Drawings (Drawings) - simple graphic design program. • Google Calendar allows students and staff members to maintain multiple calendars for all their needs. • Students and staff members can keep calendars private, or they can share them with others as they determine useful. • Students and staff members can also invite people to specific events on their calendar.

  7. Google Apps Google Blogger/ Student Digital Portfolio Google Sites Google Sites provides an easy way to create Web pages for classroom projects in a secure environment. Teachers and students can share documents and information in an easy Webpage layout. • Authorized District students may have access to a Google Blogger site that will be used as a Student Digital Portfolio. The Digital Portfolio provides a Web-based location for student work, reflection, and achievements. • Google Blogger provides a blog that can be private or public for all District students. Google Blogger sites are only accessible by students, parents, and teachers according to grade-level requirements. • The District sets the “permissions” to keep students safely limited in the system.

  8. Monitoring, Filtering & Acceptable Use of Google Apps for Education • District filters all online activity • Limits of Liability (we make every effort, but…) • No expectation of privacy • Inappropriate Use of Technology has consequences • Students and Parent/Guardians sign AUT • Staff members also sign an AUT for GAFE to interact with students online Technology is a tool used to increase communication, enhance student engagement, and assist students in acquiring new skills. Access to technology is a privilege, not a right. That said, the use of GAFE is an exciting opportunity for District staff members and students. Thank you.
