Starfish Solutions Early Warning & Student Tracking System • Student concerns can be manually flagged when observed or through periodic surveys. • Automatic flags are raised based on online grade book data. • Recommendations can be communicated to the student. • Appropriate personnel are informed of flags raised and cleared. • Close the loop with faculty when progress is made.

Starfish at Erie Community College • A collaborative effort between the faculty and student support staff at ECC to ensure student success and persistence. • Goals: • A way for staff members to be able to communicate quickly and efficiently to their students and other staff members. • To provide holistic services for the student. • To provide linkage and referral information in a timely manner. • For the software to be able to prioritize cases based upon level of risk.

  8. Progress Surveys • Faculty will receive an email reminding them to complete a progress survey for students in the pilot. • Simply check the appropriate boxes and click Submit to raise flags. EXAMPLE

Example Survey Reminder to Instructor • Dear Joe Instructor, • As you know, we are piloting a new software solution from Starfish Retention Solutions that will help us make the process of reporting on the academic progress of our students as easy and efficient as possible. Starfish works in conjunction with Blackboard and MyECC. • Please click the link below and log in with your ECC login and password. You will be directed to your outstanding surveys in Starfish. Once you reach the survey grid, simply check the box next to the particular student's name where you have a concern. The survey tracks Attendance, Assignments, and Participation. There is also a General Concern flag that can be raised for students that do not fit into the other categories. • Click Submit once you are done evaluating students. If you don't have any concerns for the students in the survey, just click Submit. The appropriate student support staff will be notified of your flags and take any appropriate actions. • The following survey is open for completion: Week 3 Progress Survey. • View Surveys in Starfish! • Thank you for your help in growing this important resource. Find Your Students List • Click Students in the top frame navigation. • Search for a student by… • Typing the student’s name into the Search field • Choosing your Connection to them • To organize your students list by flag, select the Tracking tab. • You can sort the list by flag name and/or flag status. • You can clear or comment on flags from here. To clear multiple flags at once from the Flags tab: Check off the boxes to the right of the flags you want to clear, then click the Clear Flags link at the top.

  14. View a student folder • From your Students list, click the hyperlink of a student’s name. • This brings you to the student’s folder. Depending on your level of access, you will find information on… • Grades (past/current) • Notes (you added/shared with you) • Tracking history (raised/cleared) • From the student folder you can… • Raise a flag • Add a note Anywhere you see a student’s name as a hyperlink will take you to their student folder.

  15. Configure Your Profile • Click Profile in the top frame navigation. • Edit your contact information. Then, select the email address(es) where Starfish notifications should be sent. • Upload your photo to help a student put a face to your name. • Select the Upload Photo link. • Browse for a photo on your desktop (JPEG, GIF, PNG). • Click the Upload Now button. • Complete the General Overview and My Biography sections so students can learn more about you. • Click the Save button. Students will see your profile information when they click to view your online appointment calendar.

  16. Email Notifications • Go to Profile. Then choose Email Notifications. • Click the Save button. You can change your email notifications settings at any time.
