  3. InPuts • Bin IT currently uses a variety of low end input devices such as simple QWERTY keyboards and scanners. I have decided to change the devices that they are currently using to make their work easier and more efficient: • Bin IT currently use cheap roller ball mouses, however I will use mid-range optical mouses as they will be much more efficient and will require less maintenance. I could have used a graphics tablet so that the employees would be able to hand write things and their writing be inputted onto the computer. • They also use small QWERTY keyboards on their computers but I will use large QWERTY keyboards with number pads so that it is easier to work with and quicker to input numbers using the number pad. I could have used a speech to text system however this would not be a sensible idea for use in an office as offices are usually noisy and it would be much slower to input data. • Bin IT do not currently have web cams and so I will use them so that the employees would be able to do conference calls at their desks without having to leave to go to a meeting. I will also include microphones on the desks so that they are able to talk to each other. I could have just used a voice call system without using a webcam however, it would be better for the employees to be able to see each other. • I will also use a scanner which Bin IT do not currently have so that they can input a copy of a written document rather than having to re-type something. I could have just used a camera to take a photograph of the document, however it is cheaper to use a scanner to get a high quality and it is also faster as a scanner works within seconds, where as with a camera you would have to import the photo.

  4. InPuts • Bin IT use input devices such as the keyboards and mouses in order to input data into the computers through typing and to navigate around the operating system with the mouses. They use these devices most in adding data to their databases and in writing other documents such as spreadsheets and letters to their customers.

  6. Outputs • Bin IT currently use low end output devices for their system such as printers and monitors. However I plan on using different devices that will help the employees and Bin IT in general: • Bin IT currently use a Single CRT monitor for their computers however I will use two LED monitors for their computers so that it will give employees more screen area to view their work. I could have used a projector or a touch-screen monitor however neither of these are necessary for the employees and would only take up more of their work space. • They also use standard inkjet printers however I will use a high end laser printer which will be able to print faster and will also print higher quality documents which will look more professional. It will also use less ink so will save Bin IT money on the whole. I could have used a larger photocopying printer however, Bin IT do not need to spend that large amount of money on it and they do not need all of the functions included, these large printers are also less energy and ink efficient. • Bin IT do not currently use speakers however I plan on adding high quality headphones for the computers so that the employees can hear each other clearly and also so that other employees cannot hear the conversations of the other employees. I could have used good speakers however these are more expensive and also other employees around them would be able to hear each other’s conversations and it would make the office much louder.

Outputs • Bin IT will use their output devices to firstly work with the monitors and also they will use the printers a great deal in order to print reports about their customers. • The Output devices that I have used are widely used pieces of hardware and they would be used by almost every member of the public. However, Bin IT have higher end models of the hardware so that they are specified more towards businesses so that they will be more cost effective and efficient. A monitor would be used by everyone with a computer however they would not normally have as large screens or have two running the same computer. Most people would also have a printer, however they would normally be all-in-one printers and they would not be able to print as quickly so this is where the output devices that Bin IT will use will be different to the public and more designed with a business purpose. • There are many benefits of the output devices that I have chosen for my system. The most important will be the printer as it will be able to connect to the network and so any user within the Bin IT office will be able to print to the same printer. The Headphones will also be a great help along with the web cam so that Bin IT can begin to do conference calls with people outside the office as the new system will allow employees to work from home.
