  2. ‘08 Year-end Updates • Student Course (GN) Records • High School Credit Earned (GN150) • New option “P” • Only use when partial credit applies • Use “Y” when credit equals what is on the course master record • “*” ‘Course does not earn credit’ no longer valid • Instead use “Y” and 0.00 in the High School Credit element on the Course Master • When “Y” and not = 0.00, error 467 is generated by aggs

  3. ‘08 Year-end Updates • Partial Credit allowed (GN152) • Must be numeric • Only valid when Credit Earned field = “P” • Overrides the credit value found on the Course Master • All credit earned may be included on this element • If utilizing this option, Credit Earned value must = “P” • The default credit amount must still be on the Course Master even if using this option • Both changes announced in October 31, ‘07 Newsflash • Completer flag was removed from record

  8. ‘08 Year-end Updates • Graduation Only Test (GP) • Previously called Ohio Proficiency Only • Used to report a student met classroom requirements in a district not matching the one where they took the OGT • District administering the OGT for this student reports the Graduation Only record • Test scores are reported for the student • SSID included in aggregation record

  14. ‘08 Year-end Updates • Changes in special education reporting • Special Ed exit date is critical • Found on the GI student demographic record • Only students with a special ed exit date in the current school year are processed by the aggs • Prior disability condition no longer used • Was found on the GI student demographic record • IEP records from prior years will not be included in a current aggregation unless the student is newly enrolled at the district

  15. ‘08 Year-end Updates • Autism students should be reported the same for year-end as they were in February and October • Status = “Z” • Not program code ‘212100’

  16. ‘08 Year-end Updates • EMSRDET • If the Industry Assessment (GU) records are selected for processing, only records with valid SSIDs are included • Must enter GU as a selection or processing for the March reporting cycle in order for the GU records to be included and validated • GU would not normally be selected for reporting in “N” • GU records not included when using option “N” • Fatal error 361 is issued, student not on demo

  20. ‘08 Year-end Update • Definition of date for early aggregation processing is changed • For attendance checking • No longer the last day of school • Calculated value • Last day of school + 4 days • HQPD requirement checks now uses early flag • No changes in methodology for the dates used in course or testing records • June 15th

  21. ‘08 Year-end Update • Aggregations were modified to check program codes as they apply to the reporting period. Only the program codes required for the current reporting period will be included in the agg validation process. This will limit the errors to only relevant programs codes.

  22. ‘08 Year-end Updates • Date checks are all incremented by 1 year • Maximum number of allowed days increased for community schools • Value was 250 days • Value now is 365

  23. ’08 Year-end Updates • Missing reports • ODE will generate missing reports as was the case for October • Some missing staff issues occurred due to incorrect location of EMSLID.IDX • File is no longer recreated each reporting year; local IDs are permanent per district • Must have OECN$EMIS$COMMON point to location of EMSLID.IDX for each district
